Elected Board Position Practice Group Rep -Liaison between parents, parent board and coach’s, keeping an open line of communication for questions to the coach from the parents and to parents from coach’s. Organize social activities with your practice group, Mentor the new team parents, distribution of team gear to swimmers. Activates phone and e-mail chain for their Practice Group for special announcements and cancelations. All e-mails sent out will be done in a blind copy fashion. This is an appointed board position.
**Practice Group Rep is not the point of contact for personal swimmer and coach’s issue’s, those should be taken to the Parent Board
Vice President -Assists the President with his/her duties, and fills in when needed. This is an elected position.
Secretary -Takes minutes at board meetings. This is an elected position.
Treasurer -Maintains accounting of money used by team. Writes checks to reimburse parents for hospitality, supplies etc. This is an elected position
Team Rep -Organizes volunteers needed for all dual meets. Liaison for parents on their Dual Meet Team to the board. Activates phone and e-mail chain for their Dual Meet Team for special announcements and cancelations. All e-mails sent out will be done in a blind copy fashion. This is an appointed board position
President -Leader of the parent’s association. Oversees all aspects of the parent organization and is the liaison between Coach Ray and the YMCA. This is an elected position.
Clothes Coordinator -This person coordinates the selection, ordering and delivery of team clothing for the swimmers. This is an appointed position
Volunteer Coordinator -Makes sure all volunteer positions are filled. Recruits as needed. This is an elected position.
Meet Responsibilities Colorado Setup/Takedown -(At least two per team) Sets up the Colorado Automatic Timing System equipment (starting system, console, touch pads, and buttons).
*Volunteers can learn the process by shadowing a experienced volunteer for 2 to 3 meets
Colorado Operator -(At least two per team) Operates the Colorado Automatic Timing System Console to capture electronic times(times produced when swimmers touch the touch pads.)
*Volunteers can learn the process by shadowing a experienced volunteer for 2 to 3 meets
Scorekeeper -(At least two per team) Works with the scorer from the opposing team to record times and finish places for each event and tally the score for the meet.
*Volunteers can learn the process by shadowing a experienced volunteer for 2 to 3 meets.

Sports Writer -(At least two per team) Your job as a sports writer is to collect all the information on your team that might be of interest to our Shark families. You may write about your team’s performance or focus on individuals who have achieved best times. It’s your job to write a brief article and submit it to the newsletter editor..
Runner -Takes recorded times from timers and brings them to the scoring table.
*No experience necessary.
Backup Timer -If a timer fails to start his/her watch properly the timer signals for the backup timer to come and record the time for their lane assignment.
*No experience necessary. Process can be learned in 5-10 minutes before every meet.
Timer -Uses a stopwatch and Colorado button to record times of the swimmers gives them to runner.
Times -Uses stopwatch to record time for swimmer
Records Results -Records race results for their lane on sheet provided

Hospitality -At every home meet (YMCA or College) West Morris Swim Team supplies hungry swimmers with refreshments after the meet has ended. Volunteers for each home meet make the grocery store run, set up and clean up the hospitality table.
Event Coordinator -Event coordinators will be needed for Team Pictures, Senior Stroke and Turn Clinic, Swim team social functions (in coordination with VP) and any events not coordinated by a Practice rep.
Nationals Coordinator -Orders national team uniforms. Coordinates parent activities (volunteer support, travel, social) for national events
Phone Chain Captain -This individual receives a call from either Practice Rep or the Team Rep and makes a series of phone calls to the appropriate parties on their list
Photographer -We need at least one parent from each team to capture our kids at parties, swimming, or special events. Try to include everyone from your team in as many digital photos as you can. A digital camera is required.
Equipment Manager -This person ensures that swim team equipment (particularly the Colorado Timing System) is maintained so that it will function properly when needed. He/she coordinates the activities of the equipment maintenance volunteers.
Head Timer at Invitational -Head Timer: Picks up two watches from the Y to bring to the meet. Ensures that the last assigned timer knows to return the watches to the Y. Checks in all timers for the session and assigns alternate timers as needed. Head timers are to time only when no other families are available. It is each family’s responsibility to obtain a replacement timer for their timing assignment; head timers are not responsible for finding replacement timers.
Best Time Board Keeper -This person collects the results sheets from swim events. They are reviewed and any improved results are posted for each swimmer by using graphics and stickers.
Newsletter Editor -Our own in house Shark Bites newsletter is distributed to all our Shark families. It contains information that is collected from our team sports writers, coaches, and parent organization to keep us all informed on how all the teams as well as individuals are doing this season. The editor gathers the articles and publishes the newsletter.
Official Official -Officials are positions filled by West Morris parent volunteers who have become certified the YMCA and US Swimming organizations. The YMCA and US Swimming organizations hold official’s clinics throughout the season. The clinics consists of one class and a take home exam. Once you are certified you may shadow a fellow Y official until you are comfortable on your own. Anyone interested in becoming an official should contact Official Coordinator Tony Salerno at doc71rpd@ptd.net.
Referee -Has jurisdiction over the meet and sees that rules are enforced for a fair competition. This position requires certification as an official
Official Coordinator -This person tracks all West Morris YMCA parent volunteers who have become certified YMCA and US Swimming officials. They will also coordinate all training and materials for officials
Starter -Has control over the competitors after they have been assigned by the referee and until a fair start has been achieved. Makes sure that the swimmers are ready and motionless. Uses a device such as a gun, bell, siren or horn to start the race. This position requires certification as an official.
Stroke and Turn Judge -Observes swimmers to ensure that all strokes and turns are legal. Raises hand to indicate any infractions to the referee. This position requires certification as an official.
